WhatsApp Business Auto Reply Not Working? Here’s How to Fix It

Auto-replies gone quiet? The usual culprits, and the fix for each.

There are about nine reasons for a WhatsApp Business auto reply not working, and almost none of them are a bug. Nearly every case is one of three things: a setting that quietly depends on another setting you never filled in, a message that is behaving exactly as designed while you expect something else, or a number that has moved to a different WhatsApp product than the one you are looking at.

The frustrating part is that WhatsApp gives you no error. The message just does not arrive, and the app shows you nothing to explain why. So the fix is diagnostic: work out which product your number is actually on, then check the specific causes for that product. This guide walks both branches, with the actual fix for each cause.

First, work out which WhatsApp you are actually on

This is the fork in the road, and skipping it is why people spend an hour fixing a setting that is not the problem. Three different products carry the WhatsApp name, and auto-replies work differently — or not at all — in each.

Auto-replies are a WhatsApp Business app feature. They are not part of the API, and they do not exist in consumer WhatsApp at all.

That third row is the one that catches people out. If you onboarded with a provider, a chatbot vendor or an agency, your number may have been registered on the Business Platform — and greeting and away messages are not Platform features. They vanished because they were never there. Meta’s documentation is clear that a number cannot be live on the Business app and the Cloud API at once, so if your number moved, the app’s automated messages went with it.

If you are on the WhatsApp Business app

Five causes, in the order they are worth checking. The settings live under More options, then Settings, then Business settings.

Your away message is set to “outside of business hours” — and you never set business hours

This is the most common one by a distance. The away message has three schedule options: always send, a custom schedule, or outside of business hours. That third option is not self-contained — it reads the opening hours from your business profile. If those hours are blank, there is no “outside” to compute, and the message never fires.

The fix: open your business profile, set real opening hours, and save them there before you touch the away message. Then re-check the schedule. If you would rather not maintain hours at all, switch the away message to a custom schedule and set the times directly on the message instead.

You are testing inside your own business hours

The second most common, and the least satisfying. If your hours say you are open and your away message is set to fire outside them, the away message is working perfectly by doing nothing. People test at 2pm on a Tuesday and conclude the feature is broken.

The fix: test it properly. Temporarily switch the schedule to always send, message the number from a different phone, confirm the reply arrives, then switch it back. Do not test with your own number — a business account cannot message itself.

Your greeting message will not fire for someone who is not new

Greeting messages are for first impressions only. WhatsApp’s Help Center defines the trigger as a customer messaging you for the first time, or messaging you again after 14 days of inactivity in that chat. Anyone who has spoken to you in the last fortnight is not eligible, by design.

So the colleague you asked to test it — who messaged you last week — will never see it. The fix is to test from a number that has genuinely never messaged your business, or one that has been quiet for over two weeks. This is very often not broken at all.

You set up quick replies and expected them to be automatic

Quick replies are shortcuts for messages you send often. Meta describes them as a way to respond to common questions in a few taps — the taps are yours. They are a typing aid, not automation, and nothing about them fires on its own.

The fix: if you want an unattended reply, it has to be the greeting or away message. Those two are the only automated sends the free app has.

The recipient setting is narrower than you remember

Both automated messages let you choose who receives them — everyone, only people not in your address book, or a specific list, depending on your version. If it was ever narrowed, a test from a saved contact will silently do nothing.

The fix: open the message’s recipient setting and set it back to everyone while you are testing.

If your number is on the WhatsApp Business Platform

Different product, different failure modes. Here, an “auto-reply” is whatever your software or vendor sends, and it can be blocked by Meta’s rules regardless of how well your tool is configured.

The 24-hour customer service window closed

This is the big one on the API side. Meta opens a 24-hour window when a user messages or calls your business, and it resets each time they contact you again. Inside it you can send any service message type. Once it closes, you can only send pre-approved template messages — so a free-form auto-reply written for an open window simply will not go out.

The fix: check the timestamp of the customer’s last inbound message. If it is over 24 hours old, the reply needed to be a template, and the send was correctly refused. Well-built tools switch to an approved template automatically at that boundary; if yours does not, that is a real gap worth raising with your vendor.

Your template is not approved

Only an approved template can be sent. Meta reviews templates automatically when you create or edit them, and that review can take up to 24 hours. A template sitting in review, or rejected, will not send — and editing an approved template puts it back through review, which catches people who tweak the wording the morning of a campaign.

The fix: check the template’s status in WhatsApp Manager before you blame the tool. Anything other than approved means no send.

Your template got paused, or your quality dropped

Meta rates templates GREEN, YELLOW, RED or UNKNOWN based on usage, feedback and engagement. Templates with negative feedback or low read rates become subject to template pacing and template pausing, which affects delivery — and if a template’s status stops being approved, it cannot be sent until that is restored.

The fix is not a setting. Send fewer, more useful templates to people who actually asked for them, and the rating recovers. There is no button for this.

You hit your messaging limit

Why is your WhatsApp Business auto reply not working? The 60-second checklist

Run this in order. It resolves the large majority of cases before you contact anyone’s support.

  1. 1Are you on the WhatsApp Business app, or has your number been registered on the Platform by a provider? Auto-replies only exist in the app.
  2. 2Is your business phone number’s status connected?
  3. 3If the away message is set to “outside of business hours”, are business hours actually filled in on your profile?

The honest version

A WhatsApp Business auto reply not working is usually the product telling you something true: the schedule has no hours behind it, the recipient is not a new customer, or the conversation window has closed and a template is now required. The feature set is small enough that the fault is nearly always one of a handful of things — which is good news, because it means you can work through them systematically instead of guessing.

The one genuinely unfixable case is the third product.
